Reserve a Meeting Room

Need a larger meeting space for your community group, nonprofit organization, business, or local government agency? We have three larger meeting rooms with multiple configurations on the main floor available for reservation by GAPL cardholders aged 16 and up.  

What’s Available

Each room is equipped with WiFi access! An AV cart with a computer & projector, tables, and chairs are available upon request.

  • Meeting Room A: 52-person capacity, and includes a sink, small counter, whiteboard, and projection screen.
  • Meeting Room B: 47-person capacity.
  • Meeting Room C: 30-person capacity, and includes a whiteboard.
  • Meeting Room ABC: one combined room, 99-person capacity, and includes a sink, small counter, whiteboard, and projection screen.
  • Meeting Room AB: one combined room, 67-person capacity, and includes a sink, small counter, whiteboard, and projection screen.
  • Meeting Room BC: one combined room, 45-person capacity, and includes a whiteboard.

 

Meeting Room Policy Highlights

Prior to requesting a room, please read and agree to all rules and regulations as stated in our Meeting Room Policy. Here are the highlights!

  • Reserve a room up to two times per month, per organization, and up to 90 days in advance. We require at least two business days (M-F) to review and approve your request. 
  • The person requesting the room must be a GAPL cardholder in good standing, aged 16 years or older, and present for the reservation.
  • All reservations and setup/teardown must take place during library open hours, and rooms need to be vacated within 15 minutes of the library closing.
  • All reservations must be free of charge and open to the public.
    • No admission may be charged for any meeting. No collection, other than for member dues or a fee for the actual cost of the program, may be taken during any meeting.
  • Meetings involving the sale, advertising, or promotion of commercial services, regardless of purpose, are prohibited.

How It Works

Follow these steps to request a room online:

  1. Prior to requesting a room, please read and agree to all rules and regulations as stated in our Meeting Room Policy.
  2. Select the Reserve a Meeting Room button on this page.
  3. Use the filters to choose Meeting Room as the room type, and to set a start date, start time, and duration for your reservation.
    • Choose “4 hours” as the duration for any reservation equal or longer to four hours. The duration may be changed later in the process.
  4. Select Apply to view available rooms based on your filters.
  5. Choose an available room and select Reserve This Room.
    • If no rooms are available, consider changing the time or duration of your reservation.
  6. The reservation form will appear. Enter all required information.
    • Room setup options are available for you to view and select. Please include any additional details in the Room Setup notes field.
  7. Select Submit. You will receive a notification email that your reservation is pending approval. Please allow at least two business days for library staff to review your request.
  8. When your reservation is approved, you will receive a confirmation email. If library staff are unable to approve your request, they will reach out to you with the reason and additional options if available.
  9. Check in for your reservation at the Front Desk!
